Organizing Your Library

As your library grows, organization becomes essential. Virza gives you several tools to keep things tidy.

Collections

Collections are the primary way to organize documents. Think of them as smart folders.

Creating a collection

  1. Click New Collection in the sidebar
  2. Give it a name (e.g., “Machine Learning Papers” or “Literature Review, Chapter 2”)
  3. Optionally add a description

Adding documents to collections

  • Drag and drop: Drag a document from the library onto a collection in the sidebar
  • Right-click: Right-click a document and select Add to Collection
  • Bulk select: Select multiple documents and add them all at once

Documents can be in multiple collections. Unlike traditional folders, adding a paper to one collection doesn’t remove it from another.

Nested collections

Collections can be nested for hierarchical organization:

Thesis Research/ ├── Chapter 1: Background/ ├── Chapter 2: Methods/ ├── Chapter 3: Results/ └── Uncategorized/

Pinning documents

Pin frequently accessed documents to the top of your library for quick access. Click the pin icon on any document card.

Sorting and filtering

Sort options

  • Date added: Newest first or oldest first
  • Title: Alphabetical
  • Author: By first author name
  • Publication date: When the paper was published

Filters

  • Status: Ready, Processing, Failed
  • Collection: Show only documents in a specific collection
  • Date range: Filter by upload date or publication date

Trash and recovery

Deleted documents go to Trash where they stay for 30 days. To recover a document:

  1. Go to Trash in the sidebar
  2. Find the document
  3. Click Restore

After 30 days, trashed documents are permanently deleted.
